1. Who We Are

WriteSmith AI is operated by Melrose Search Limited, a company registered in England and Wales. When we refer to “we”, “us”, or “our” in this policy, we mean Melrose Search Limited.

2. What Data We Collect

We collect the following types of information:

  • Account information: name, email address, and password when you create an account
  • Payment information: processed securely by Stripe. We never store your card details
  • Generated content: for premium users who save documents to their library
  • Usage data: which tools you use, word counts, and timestamps for service improvement and usage tracking
  • Technical data: IP address, browser type, and device information collected automatically
  • Cookies: essential cookies for authentication and optional cookies for analytics and advertising

3. How We Use Your Data

  • To provide and maintain the WriteSmith AI service
  • To process your text through our AI tools (text is sent to AI providers for processing)
  • To track usage limits and manage subscriptions
  • To improve our tools and develop new features
  • To send you emails about your account, and marketing emails if you opted in (you can unsubscribe at any time)
  • To display relevant advertising for free-tier users (premium users see no ads)

4. AI Processing — Important Notice

Your text is processed by Anthropic (using Claude models). Text is sent to Anthropic's API for processing and is not stored by Anthropic beyond the immediate request. Anthropic's data processing terms apply.

By default, your text is not stored after processing completes. If you enable the Save Generation History option in your dashboard settings, a truncated version of your input (up to 500 characters) and output (up to 1,000 characters) is stored in your account so you can review your past generations. You can disable this at any time, and stored history can be deleted from your dashboard. Anonymous users and users with the setting disabled have no text stored under any circumstances.

Premium users may also explicitly save content to their document library, which is retained until they delete it. Please review Anthropic's privacy policy for details on how they handle data.

5. Chrome Extension Data Handling

When you install and use the WriteSmith AI Chrome Extension:

Content script on every page you visit: the extension injects a small piece of code into every web page so the selection-triggered tools (floating button, right-click menu, keyboard shortcuts) are available wherever you write. The content script runs locally in your browser. It does not silently send the page’s content anywhere — the only data that leaves your browser is text you explicitly select and invoke a WriteSmith action on.

Selected text is sent to writesmith.ai servers for processing: when you trigger a tool, the highlighted text is transmitted over HTTPS to our servers, processed by the relevant AI model, and the result is returned immediately. By default the text is held in memory only for the duration of the request and is discarded afterwards. If you are signed in and have enabled Save Generation History in your dashboard settings, a truncated version of the input and output is stored in your account as described in section 4. You can disable Save Generation History at any time.

Automatic job-listing detection: on a small set of recruitment sites (such as LinkedIn, Indeed, and similar career boards) the content script reads the visible page text in your browser to detect whether the current page looks like a job listing. If it does, the extension can suggest the Job Application Pack tool. This page-read happens locally in your browser — the page contents are not transmitted to our servers unless you then choose to invoke a tool on the listing.

Metadata-only analytics: the extension sends us anonymous usage events about which tool you used, which site you were on, and whether the call succeeded or failed. These events never contain the text you selected or the model’s output. When you are signed in the events are attributed to your account session; when you are not, they are tied to a random anonymous identifier.

Local trial counter: the extension lets you try up to 5 generations without a WriteSmith account. A random trial identifier is stored locally in your browser’s extension storage to track how many you’ve used. This identifier contains no personal information; the count is also enforced server-side so the counter can’t be reset by tampering.

Local auth cache: if you sign in to your WriteSmith account, the extension caches your existing session cookie locally so it can authenticate API requests without re-prompting you on every page. No additional credentials are stored in the extension and the cache is cleared when you sign out via either the extension or the main site.

Data retention: by default none — the selected text is processed in memory and discarded immediately. If Save Generation History is enabled, truncated input and output are retained in your account as described in section 4.

6. Third-Party Services

We use the following third-party services:

  • Supabase — database hosting and user authentication
  • Stripe — payment processing for subscriptions and credit packs
  • Anthropic — AI text processing
  • Vercel — website hosting and deployment
  • Resend — transactional email delivery
  • Google AdSense — advertising (free tier users only)

7. Data Retention

  • Account data: retained until you delete your account
  • Document library: saved content retained for premium users until deletion; becomes read-only if you downgrade to free
  • Usage logs: retained for analytics and service improvement
  • Processed text: not stored after processing completes by default; if you enable Save Generation History, truncated input/output is retained in your account until you disable the setting or delete the history (premium users may also explicitly save content to their library)

8. Cookies

We use the following types of cookies:

  • Essential cookies: required for authentication and basic site functionality. These cannot be disabled
  • Analytics cookies: help us understand how visitors use the site (optional)
  • Advertising cookies: used by Google AdSense to display relevant ads to free-tier users (optional)
  • Preference cookies: remember your settings such as dark mode and language preferences

You can manage cookie preferences through the cookie consent banner or your browser settings.

9. Your Rights (GDPR)

Under the UK GDPR, you have the right to:

  • Access your personal data
  • Correct inaccurate personal data
  • Delete your personal data and account
  • Export your data in a portable format
  • Restrict processing of your data
  • Object to processing based on legitimate interest
  • Withdraw consent at any time

10. Lawful Basis for Processing

  • Consent: when you create an account and agree to our terms
  • Contract: to provide the service you have signed up for
  • Legitimate interest: service improvement, security, and fraud prevention

11. Children

WriteSmith AI is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us.

12. Changes to This Policy

We may update this privacy policy from time to time. We will notify registered users of significant changes via email. The “Last updated” date at the top of this page indicates when the policy was last revised.
